Creating a GENIUS Profile for SMARTS

A GENIUS profile is created to be used for SMARTS or to store your C.V. or to be accessible for a GENIUS search and can be set up by going to the webpage at your institution where the SPINPlus subscription is located.

Profile Summary Page  (From here you will click on the different categories to choose criteria for your profile). 

General (personal information) - Your name, department and e-mail address should already be filled in.  You may choose to fill in any of the remaining information but this is not necessary.  However, at the bottom of this category there are 6 questions you should answer regarding your profile as it relates to SMARTS and to a GENIUS search.  It is recommended that you select the option of getting SMARTS Hits sent as single e-mail messages so that they are easier to manipulate.  Otherwise you have to scroll through them. Be sure and "Save Changes" after you have finished making all the selections on this page.  This will take you back to the Profile Summary Page.  Next click on Keywords.

Keywords (your interests and areas of expertise) - Most likely you will be interested in selecting some but not all of the keywords that fall under a major topic.  If this is the case, select EXACT MATCHING rather than HIERARCHICAL MATCHING.  Scroll down the page to get to the Major Topic Areas on the left hand side of page. Once you click a Major Topic word in blue, the keywords associated with it will appear in the keyword selection box on the right side.  As you scroll through these keywords hold down the control key continuously, while using the mouse to make your selections. I recommend scrolling through the entire list under the Major Topic most likely to have your interests. DO NOT put a check in the box next to the blue Major topic word unless you want to include every keyword under that major topic. By scrolling through the whole list you are likely to see terms you may not have thought of.  If you happen to lift off the control key and then select another keyword without pressing the Control Key again, you will loose all your previous selections.  To go back and deselect any keywords the control key must also be depressed.  If you do not see a particular word, you may search for a term by typing in a keyword in the box called Search for a Particular Keyword. If it is in the thesaurus it will appear in the keyword selection box.  You need to highlight the keyword in the box before you Save it - otherwise it will not be saved and you will have to search for it again. When selecting multiple keywords under a Major Topic Area, hold down the Control key while selecting multiple words with the cursor.  You may choose keywords from more than one Major Topic Area, but always remember to click Select/Save Changes before going into a new Major Topic Area or clicking the Return button. Use the title, objectives and synopsis categories to search on words that you do not find in the keyword thesaurus.  These three categories are free text boxes and may be used in addition to their intended uses, also as a way to search on words that aren’t in the thesaurus. 

Applicant Types (who you are) - Select the ones that describe who you are as an individual: Individual, Non-Specific; Graduate Student; Faculty - whatever applies.  You do not need to select institution types - these have been pre-selected and will be automatically generated.  Then "Save Changes". Next click on Award Types.

Award Types (the type of activities for which you seek funding) - What type of funding are you looking for: a program, research, a fellowship, student support?  Often more than one will apply. "Save Changes" and click on the next category, Geographical Restrictions.

Geographical Restrictions (values that describe your state/region) - In addition to NO RESTRICTIONS you should also select NEW ENGLAND, NORTHEAST and VERMONT. You would be eligible for any programs that were restricted to applicants from these areas.  "Save Changes" and click on the next category, Locations Tenable.

Locations Tenable (where you will do the work) - If do not wish to leave the U.S. choose Any/No Restrictions & US Institutions.  Otherwise select any other countries in which you would be willing or want to work. "Save Changes". 

These are the main categories that are important to fill out for SMARTS matching.

The remaining Genius categories may be used to store your Curriculum Vitae which will also be used for GENIUS searching. Remember that the GENIUS database in which you as an investigator fill out a profile so that targeted opportunities can be automatically sent to your e-mail address, is also searchable by university, state, country, area of interests to find other investigators with whom you might like to collaborate. You may use as many categories as needed to satisfy your personal requirements.  The more comprehensive your profile is, the more useful it will be to potential collaborators.  One category in particular "Research Interests" is very helpful not only to potential collaborators but also to me as the Funding Information Administrator.  It helps me pinpoint who on campus might be interested in possible funding opportunities.  LOG OUT WHEN FINISHED.

Some things to remember:

  1. Your SMARTS service begins the day following the validation of your profile (usually one to several days after you submit it) and it only searches opportunities that have been updated or new opportunities that have been added to the SPIN database that day and each day following.  If you wish to search the complete database up until your daily SMARTS service begins you will need to do a one time search in the SPIN database and enter in your keywords again. It might be helpful to print out a copy of your profile so that you can easily remember your search criteria.  A regular SPIN search can be done by going back to the very first InfoEd screen and choosing SPIN instead of SMARTS/GENIUS. Choose Advanced Search and fill in keywords, applicant types, award types, geographical restrictions and locations tenable. Then run the search. 
  2. It may be necessary to edit your profile again if you find you are receiving too many non-useful items in your daily SMARTS e-mails.  To modify your profile you go through the same steps as when you created a profile only at the beginning of the SMARTS/GENIUS screen you select Edit Existing Profile, instead of Create a New Profile.  You put in your user name and password and then you can delete or add items as necessary.
  3. When navigating within the databases, whenever possible use the return and back buttons that are on the screens. When doing a regular SPIN search the button to return to your search criteria is at the top of the page and is the tiny blue hyperlinked word “Advanced Search”.

·         How do I sign up to receive SMARTS matches?
You can choose to receive SMARTS matches in the General Section of your GENIUS profile.(You must also have at least one keyword selected from the Keyword Section).

·         How do I stop receiving SMARTS matches?
You can choose to not receive SMARTS matches in the General Section of your GENIUS profile. At the bottom of your profile,click ‘No’ to the question, “Do you wish to receive daily SMARTS emails
